Panelio for Zoom

Panelio Interview Partner reads every resume against your job description and runs the interview inside your Zoom meeting, with a coding editor or a whiteboard on the stage, an interviewer's panel at the side, and an evidence pack after every round. A person makes every decision. This guide takes a role from the job description to the decision, then says how to remove the app.

Before you start

Add Panelio

  1. Go to the Zoom App Marketplace, marketplace.zoom.us, and sign in with your Zoom account.
  2. Search for Panelio Interview Partner and open it.
  3. Choose Add, read what Panelio asks to reach, and choose Allow.
  4. Open the Zoom desktop app, choose Marketplace, then Panelio.
  5. Choose Sign in with Zoom. If you are the first from your company, Panelio makes your workspace and you are its admin.

Sign in

Inside Zoom, in a meeting or in Zoom's own window, signing in is one click. In a browser, at app.panelio.ai, it is Zoom's own sign-in page. Where Zoom's window cannot start the sign-in, Panelio shows a code: open the link in a browser, sign in with Zoom there and enter the code. You join a workspace only by an invitation, and only when you press Join on it: an invitation waits at the top of Roles, under Invitations, with Join and Not now, and if you are in no workspace yet, it shows when you sign in.

Make a role

  1. Choose New role.
  2. Paste the job description, give its link or upload the file; with your applicant tracking system connected, choose a job under Read it from and your system's name instead. Choose Read the job description.
  3. Check the title, the location, the job ID, and whether the role involves coding and system design, then choose Add the role.
  4. Check the rounds. Every role starts with a person's screening. A role that writes code gets Screening, Live coding, AI readiness and Hiring manager, with System design where it designs systems; a role that does not gets Screening and Hiring manager, with System design where it designs systems. Move, remove, lengthen or add rounds, then save.

For one candidate who needs no shortlist, Quick interview takes one resume and a job description, or an open role, to one scheduled round, in five short steps.

Upload resumes and shortlist

  1. On the role's candidates, choose Upload resumes and pick the files (PDF, Word or text). With your applicant tracking system connected and the role linked to its job, Import from and your system's name brings in the job's applicants with their resumes.
  2. Panelio shortlists them as they come in: it reads every resume against the job description and places each candidate in a fit band (Strong, Likely, Partial or Weak), with strengths quoted from the resume and gaps. Names are hidden at first, and every candidate stays on the list. If some resumes aren't shortlisted yet, choose Shortlist resumes.
  3. Record each next step yourself: Invite, Hold or Decline, on the candidate's row or in their panel. It is recorded with your name.

To ask a colleague to look at the candidates, choose Invite collaborators and type their name or address; someone new joins as a reviewer, who reads the candidates and upvotes them.

Invite a candidate

  1. Choose Invite on the candidate's row.
  2. Give every round a date, a time and an interviewer. Add an interviewer to make a round a panel of up to three. Choose Schedule the rounds: Panelio makes a Zoom meeting for each round.
  3. Read the invitation and its reply-by date, then choose Send the invitation: one email with every round, its Zoom link, what is recorded and the notice the law asks for. If you invited the candidate yourself, outside Panelio, choose Already invited, then They're invited.
  4. When the candidate accepts, each round's questions are drafted from the library first, with at most two from the resume. The interviewer approves them on the round's page; nothing drafted is asked until a person approves it. Only the round's interviewers, an admin or the role's owner can change them, and nobody can once the round has started.

When a candidate must have the notice before an interview is the employer's to keep; see the terms.

If a candidate declines, an admin or the role's owner can cancel the Zoom meetings Panelio made for them: choose Cancel the Zoom meetings under Waiting for you on Roles, or on the page of a round you set aside.

Run a round in the meeting

  1. Start the round's Zoom meeting, then open Panelio from the meeting's Apps.
  2. Panelio shows the round and its questions. Choose the one way in: Open the editor for live coding (the editor link goes in the chat too), Open the whiteboard for system design, Open Panelio when the candidate's screen carries a review exercise or their own code, or Start the round when there is nothing on the stage.
  3. The candidate sees the editor or the whiteboard on the stage. If the employer offers the voice check, the candidate is asked on their own screen first, and can say yes or no. After a no, or when nothing is answered within a minute and a half, the panel says so and offers Ask again.
  4. If nobody in the meeting has the candidate's name, because they joined as iPhone, say, the panel says so, for example No one here is named Jo Harper., with That's Jo beside each person your team doesn't know. Choose That's Jo beside the candidate, or Dismiss if the candidate is here. Nobody is removed from the meeting.
  5. The panel shows the time left, the question now with Show on their screen, the next with Move on, what to ask next, Mark this moment, Rate (your own rating, 1 to 5 on each dimension), a private note and the live transcript. Panelio suggests no grade during the round.
  6. When you are done, choose End round, then Yes, end it.

At the top of the panel, choose Narrow, Wide or Own window for its width.

A round you don't end yourself ends ten minutes after its Zoom meeting ends, or an hour after its scheduled length if Zoom never says the meeting ended, and its pack is written all the same.

Hand the turn to Panelio

When the round starts, a participant named Panelio joins the meeting on your behalf, muted with its tile dimmed. You stay in the meeting; if you leave, Zoom removes Panelio too.

  1. Choose Hand over to Panelio, under More when the panel is narrow. Panelio unmutes and asks the round's approved questions, and hears the candidate and anyone not on your team.
  2. Choose Take over at any moment to take the turn back; Panelio goes quiet and dims.
  3. At End round, Panelio leaves the meeting.

The candidate can ask Panelio for a person at any moment, and it says the team will take it from here.

The evidence pack and the debrief

  1. After End round, the evidence pack opens: a suggested grade for each dimension with the quote it comes from, your own rating from the call beside it, what happened at its moments, what to probe next round and the integrity lines.
  2. Choose Confirm all as shown, or confirm line by line; a changed line asks for a reason. Nothing counts until a person confirms it.
  3. Get a link shares the pack, until the record's retention ends. With an applicant tracking system connected, the confirmed pack can be sent to it.
  4. The role's debrief shows every candidate on the same rubric, with disagreements marked to discuss; each value opens where it came from. A person records the decision: choose Record a decision, pick Advance, Hold or Decline, write your reason, and choose Record with my name. Every decision needs a reason. Declining also takes the candidate's interviews still ahead off the schedule; an admin or the role's owner is asked first whether to cancel their Zoom meetings.
  5. In a meeting with only your team, the host or a co-host chooses Start debrief to put the debrief on the stage.

Export decisions, on the role's candidates, or Export on its debrief, gives every decision for the role with who made it, why, and the quotes behind each grade.

Settings

Plans

You pay for interview rounds, not seats. An interview round is one candidate in one session of any kind; it counts when the round ends, and only if the candidate took part, by speaking, or working in the editor, on the whiteboard or in the review, or if your team told the panel the candidate was there when nobody had their name. A round you open and end alone doesn't count.

The free plan includes 1 interview round and 25 resumes, once, with no time limit, and one open role. Starter is $45 a month for 5 interview rounds a month, or $499 a year for 60 a year, with 2,000 resumes a month. Team is $320 a month for 40 interview rounds a month, or $3,599 a year for 480 a year, with 10,000 resumes a month. A yearly plan's rounds are all there from the start of its year. For a custom plan, write to support@panelio.ai. Panel interviews and connecting your ATS are on Starter and Team; on Free they show turned off.

Paid plans are bought in the Zoom App Marketplace by a Zoom account admin in the United States, and Zoom bills them. Each plan's rounds and resumes are a hard cap: the app says they're used before it refuses, and nothing bills past it. Settings, Plan and billing shows the rounds and resumes used and left. The candidate's side

  1. The candidate gets one invitation with every round, its Zoom link, what is recorded and the notice.
  2. On their own page, with no account, they choose Accept, Ask for another time or Decline. If you add a round after they accepted, their page asks them to accept the new round or ask for another time.
  3. They join the meeting from the Zoom link, as a guest if they like. In a coding, system design or review round, Panelio opens on their screen when the interviewer starts, and its link is in the meeting's chat if it doesn't open; in a round that is a conversation, they see only the meeting.
  4. If the employer offers the voice check, the question is on their screen at the start, with the notice in full; saying no counts against nothing.
  5. After the decision, the employer may send them a note.

Troubleshooting

Remove Panelio

  1. Sign in to the Zoom App Marketplace, marketplace.zoom.us.
  2. Choose Manage, then Added Apps, or search for Panelio Interview Partner.
  3. Choose Panelio Interview Partner, then Remove.

What removing it does

What happens to your data

Delete a whole workspace

  1. An admin opens Settings, Data, and chooses Delete this workspace.
  2. Type the workspace's name exactly, then choose Delete this workspace. A company's main workspace with sub-workspaces asks for those to be deleted first, each from its own Settings, Data; one whose owner never joined is removed on Settings, Workspaces.
  3. The workspace is deleted 7 days later. Until then every admin sees one line on every screen, "This workspace will be deleted on" the day, with Cancel the deletion, and any admin can cancel. Every admin gets an email when it is asked for, and another when it is done.

Deleting a workspace deletes everything in it: its roles, candidates, rounds, evidence packs, decisions, files and voiceprints, and its key, so nothing it held can be read again. Zoom meetings Panelio made for rounds that haven't started are cancelled where their host's sign-in allows; if Zoom keeps any, the last email says so, to delete them in Zoom. A paid plan is the Zoom account's and isn't cancelled by this: cancel it in the Zoom App Marketplace. The interview rounds and resumes it used stay counted for the Zoom account, so deleting a workspace doesn't give them back. Export each role's decisions first if you need them.
